1. About us and this policy

This Privacy Policy explains how ALTONEX Global Trading - F.Z.E (“Altonex Global,” “we,” “our,” or “us”) collects, uses, and protects personal data when you use the Altonex Global platform at altonexglobal.com (the “Platform”).

We are the data controller for personal data processed through the Platform, except where this policy states that an independent supplier acts as a separate data controller for data you send directly to that supplier.

Altonex Global is a B2B trade-discovery and RFQ (Request for Quotation) platform for lubricants and automotive spare parts. We connect professional buyers with independent suppliers. We are not the seller, we do not operate a checkout, and we do not process payments. This policy does not cover the independent data practices of suppliers, third-party websites, or external services we link to. The Platform is intended for professional business users only, not for consumers or children.

2. What data we collect

(a) RFQ and inquiry data — information you provide when submitting a Request for Quotation, a product inquiry, or a contact-supplier message: your name and optional job title; company name; email address and phone number; country or destination market; product requirements (product or category, quantity, packaging unit, channel, payment and shipping or Incoterm preferences, destination port, and any free-text message); and any documents or attachments you choose to include.

(b) Supplier registration data — information suppliers provide when registering or setting up a booth: company name, contact name, email, phone, store or booth name, business address and country, any tax or business identifiers the registration form requests, and verification documents a supplier chooses to upload.

(c) Account data — if you create an account: your username, email address, and login credentials. Passwords are stored in hashed form only; we never store them in readable form.

(d) Contact and newsletter data — the name, email address, and message or subscription preference you submit through a contact form or newsletter sign-up.

(e) Data collected automatically — IP address, approximate location, browser type and user-agent string, device type and operating system, pages viewed, referring page, time spent on the Platform, and cookie or similar identifiers (see Section 5 on cookies). We do not collect or store payment-card data; no payments are processed on the Platform.

3. Why we collect it and the legal basis

We process personal data only on a lawful basis recognised by the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021, Article 4) and, for users in the EU or UK, the GDPR:

  • Your consent — for analytics and marketing cookies, advertising pixels, and newsletter subscriptions. You may withdraw consent at any time; withdrawal does not affect prior processing.
  • Performance of a contract or pre-contractual steps at your request — for handling your RFQ, routing it to the relevant supplier, and managing your account.
  • Our legitimate interests — in operating, securing, and improving the Platform, and in preventing fraud and misuse.
  • Compliance with a legal obligation — where applicable law requires us to process or retain data.

4. How we use your data and how we share it with suppliers

We use personal data to operate the Platform and its discovery, supplier-booth, and RFQ features; to route your RFQ or inquiry to the relevant independent supplier or suppliers so they can respond; to create and manage accounts and supplier booths; to communicate with you about your inquiry, your account, or a platform matter; to maintain security and prevent misuse; to measure and improve the Platform; to send updates where you have consented; and to meet legal obligations.

Because the Platform is a trade-discovery and RFQ service, the core function is forwarding your inquiry to the supplier you want to reach. When you submit an RFQ, a product inquiry, or a contact-supplier message, the details you provide are made available to the relevant supplier so they can respond. Each supplier is an independent business and handles your information under its own privacy practices, acting as a separate data controller. Please do not include confidential information you are not authorised to share, except where the purpose is the trade communication itself with that supplier.

5. Cookies, analytics, and advertising pixels

The Platform uses cookies and similar technologies for three distinct purposes:

  • Essential and functional — required for the Platform to operate: login session, security, page caching, and language preference. The Platform is served in multiple languages through GTranslate, a translation service.
  • Analytics — Google Analytics (GA4), managed through Google Tag Manager, to understand how the Platform is used and to improve it.
  • Marketing and advertising pixels — provided by social media and advertising platforms; described in full below.

Advertising pixels — Meta, TikTok, and Google. To measure and improve our marketing activity, the Platform uses advertising and measurement pixels provided by Meta Platforms (Facebook and Instagram), TikTok, and Google, all managed through Google Tag Manager. When active, these pixels may collect and transmit to the respective platform your IP address, device and browser information, a cookie or online identifier, the pages you view, and actions you take (such as viewing a product or submitting an inquiry). This data is sent to servers operated by those platforms, which may be located outside your country — including in the United States.

Those platforms use the data to measure our marketing campaigns, deliver relevant advertising, and build advertising audiences (including “custom” and “lookalike” audiences). For these advertising purposes, Altonex Global and the relevant platform (for example Meta or TikTok) may act as joint controllers of the data collected through the pixel. Each platform also processes data it receives as an independent recipient under its own privacy policy:

Your control. You can accept or decline non-essential cookies (analytics and marketing) using the consent banner displayed on the Platform, and you can change your choice at any time. Non-essential technologies load only after you give consent. You can also manage cookies through your browser settings, and manage ad personalisation directly within your Meta, TikTok, and Google accounts.

6. Other service providers and data recipients

We share personal data, only as necessary, with the following categories of recipient:

  • Hosting and infrastructure: Hostinger, which hosts the Platform.
  • Marketplace and vendor engine: the software layer running within our website that powers supplier booths and the RFQ system.
  • Email delivery: a transactional email service for account and inquiry notifications, and a newsletter service for marketing email.
  • Analytics and advertising: as described in Section 5.
  • Translation: GTranslate, for multilingual delivery of the Platform.
  • The suppliers you contact: as described in Section 4.
  • Legal and regulatory authorities: where required by law.
  • A successor entity: in the event of a business reorganisation, merger, or acquisition, subject to this policy.

We do not sell your personal data.

7. International data transfers

Altonex Global is a global platform. Data you submit may be transferred to and processed in countries other than your own — including the country of the supplier you choose to contact and the countries where our service providers operate (which may include the United States).

Under the UAE Personal Data Protection Law (Article 22), a cross-border transfer of personal data out of the UAE requires an approved safeguard to be in place. Altonex Global Trading – F.Z.E does not rely on a general finding that any specific destination country’s data-protection regime is “adequate” — the UAE Data Office has not published a public list of countries found to provide an adequate level of protection as of the date of this policy. Instead, we rely on one of the safeguards UAE law recognises for the specific transfer in question: standard contractual clauses, binding corporate rules, your explicit and informed consent to the specific transfer, or the transfer being necessary to perform a contract with you (for example, to route your inquiry to a supplier located outside the UAE, at your request). For EU and UK users, equivalent GDPR transfer safeguards — such as the European Commission’s Standard Contractual Clauses — apply in the same way.

8. How long we keep your data

We retain personal data only for as long as it is needed for the purposes described in this policy, or as required by applicable law — for example, to support an active inquiry, to maintain business records, or for the life of an account. When data is no longer needed, we delete it or render it anonymous, and we review the data we hold on a periodic basis.

9. Your rights

Depending on your location, you may have the following rights in relation to your personal data. These rights are set out in the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021, Articles 13–18) and, where applicable, the EU or UK GDPR:

  • Access — to obtain a copy of the data we hold about you.
  • Correction — to have inaccurate or incomplete data corrected.
  • Deletion — to request that we delete your data, where the legal basis for retention no longer applies.
  • Restriction — to ask us to limit how we process your data in certain circumstances.
  • Objection — to object to processing based on legitimate interests or for direct-marketing purposes.
  • Portability — to receive your data in a structured, machine-readable format.
  • Withdrawal of consent — where processing relies on your consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

To exercise any of these rights, contact us at info@altonexglobal.com. We may need to verify your identity before we act, and we will respond within the period required by applicable law. Under the UAE PDPL framework, our operating target is to respond within one month of a verified request, extendable for complex requests. Please note that data you have sent directly to a supplier is controlled by that supplier; to exercise rights over that data, contact the supplier as well.

You also have the right to lodge a complaint with the UAE Data Office (the federal data-protection authority) or, for EU and UK users, with your local data-protection authority.

Altonex Global is assessing whether its data-processing activities require the appointment of a formal Data Protection Officer under the UAE PDPL framework. If a Data Protection Officer is appointed, this policy will be updated with their contact details.

10. Security

We apply reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or misuse — including hosting-level security controls, HTTPS encrypted connections, access restrictions, and regular backups. No transmission or storage method is completely secure; we cannot guarantee absolute security, and we encourage you to use strong credentials and to contact us promptly if you suspect a security issue.

11. Data breach notification

In the event of a personal data breach that is likely to result in a risk to the rights and freedoms of individuals, Altonex Global Trading – F.Z.E will notify the UAE Data Office without undue delay — and in any event within 72 hours of becoming aware of the breach, which is the operating standard we apply under the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and its Executive Regulations (Cabinet Decision No. 111 of 2023). Where the breach is likely to result in a high risk to an affected individual, we will also notify that individual directly, without undue delay, describing the nature of the breach and the steps we are taking in response.

12. Children and intended users

Altonex Global is a business-to-business platform for professional users acting on behalf of a registered business. It is not directed to children, it is not intended for consumer use, and we do not knowingly collect personal data from anyone under the age of 18.

13. Third-party links

The Platform may contain links to supplier materials, external services, industry standards bodies, or certification resources. We are not responsible for the privacy practices or content of any third-party site. Please review their policies independently before providing any personal information.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version here with a new “Last updated” date. The revised policy takes effect on publication. Continued use of the Platform after an update constitutes acceptance of the revised policy.
